Mini Truck Depot (“we,” “us,” or “our”) operates the website https://minitruckdepot.com (the “Site”) and the Mini Truck Depot mobile application (the “App”). Together, the Site and the App are referred to as our “Services.” This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you visit our Site or use our App. By accessing or using our Services, you consent to the data practices described in this policy.
1. Information We Collect
We collect information about you in a variety of ways depending on how you interact with our Services.
A. Information You Provide to Us
Currently, users cannot create accounts on our Services. However, we may collect personal information you voluntarily provide to us when you:
Fill out contact forms, inquiry forms, fleet inquiry forms, or dealer application forms.
Communicate with us via email or other methods.
The personal information collected may include your name, email address, phone number, and any other details you choose to provide.
B. Information Collected Automatically via the App and Site
When you use our App or visit our Site, we automatically collect certain information about your device and your usage. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as:
Device Data: Your device’s Internet Protocol (IP) address, browser type, operating system, device manufacturer and model, unique device identifiers, and language preferences.
Usage Data: Information about how you interact with our Services, including the pages or screens you view, the links you click, the dates and times of your visits, and app crash logs or performance data.
Cookies and Tracking Technologies: On our Site, we may use cookies, web beacons, and similar tracking technologies to gather information about your browsing behavior and to improve user experience.

C. Mobile App Permissions
Depending on the features you use, our App may request certain permissions on your device (such as network access to load website content). You can change our access or permissions by going to your device’s settings at any time.
2. How We Use Your Information
We use the information we collect primarily to provide, maintain, and improve our Services. Specifically, we may use your information to:
Operate and deliver the features of our Site and App.
Respond to your customer service requests, inquiries, and questions.
Analyze usage trends and measure the effectiveness of our Services to improve user experience.
Identify and fix technical errors, app crashes, or bugs.
Prevent fraudulent, unauthorized, or illegal activity.
- Operate the AI Mechanic, limit misuse of it, and check and improve the quality of its answers.
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following situations:
Third-Party Service Providers: We may share your data with mini truck dealers in our network, third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf (e.g. website hosting, data analysis, app analytics like Google Analytics or Firebase, and email delivery).
Legal Obligations: We may disclose your information if legally required to do so to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process.
To Protect Rights: We may disclose information when we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, or situations involving potential threats to the safety of any person.
4. AI Mechanic (the assistant in our app)
The App has an assistant called AI Mechanic. It answers questions about your mini truck. This section explains what happens to what you tell it.
What we collect:
- The questions you type and the answers you get.
- The vehicle you chose.
- The time of each question, and the time you accepted the on-screen notice.
- A random user ID that the App creates for you. It is not linked to your name. We store only a scrambled (hashed) version of it with your conversations.
- Your IP address, which we log for security. We do not use it to work out where you are.
- Technical details, such as timings and cost.
The AI Mechanic does not ask for your name, email address or phone number. Please do not type personal details into your questions.
Why we use it: To answer your questions. To limit misuse and keep the service secure. To check the quality of answers and fix mistakes.
Who handles it: We use Google Cloud, Firebase and Google’s Vertex AI service to run the assistant. Your questions are sent to Vertex AI to produce answers. Google acts as our service provider. Under its terms, Google will not use your questions and answers to train or fine-tune its AI models without our permission. Google may keep a copy of them in memory for up to 24 hours to answer faster. Google may also log requests to detect misuse of its services. We do not sell your information. Only people who work on the assistant for us can read the logs.
How long we keep it:
- Conversation log: 30 days in our main log, and 396 days in long-term storage.
- Request records, including your IP address: 30 days.
- A conversation in progress, so you can ask follow-up questions: deleted automatically after 1 day.
- Question counters: deleted automatically after 2 days.
- Your anonymous user ID: until we delete it.
- On your phone: your latest conversation (up to 100 messages) and your vehicle choice stay until you start a new conversation, open the assistant more than 20 hours after your last question, or delete the App.
Deleting your data: To ask us to delete your data, please contact us here and start your message with the words “Data Deletion Request.” We do not know who you are from your interactions with the AI Mechanic, so please also tell us roughly when you used the AI Mechanic and what you asked. We can then find and delete those entries from the 396-day log. Copies in our main log cannot be deleted early, but they delete themselves after 30 days.
5. Data Retention and Your Deletion Rights
We will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. For how long we keep AI Mechanic data, see “AI Mechanic (the assistant in our app)” above.
How to Request Data Deletion: You have the right to request the deletion of any personal data we have collected from you. Because users do not create accounts, you can submit a data deletion request by contacting us directly. To request the deletion of your data, please contact us here and preface your message with the words “Data Deletion Request.” We will process your request in accordance with applicable laws.
6. Third-Party Links
Our Services may contain links to third-party websites or services. We are not responsible for the privacy practices, data collection, or content of these external sites. We encourage you to review the privacy policies of any third-party websites you visit.
8. Children's Privacy
Our Services are not intended for or directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently received personal information from a user under the age of 13, we will delete such information from our records immediately.
7. Updates to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will update the “Effective Date” at the top of this policy and post this new version here on our Site and link to it from within our App. We encourage you to review this Privacy Policy periodically.
